Carrying wedding and celebration groups

Why these bookings differ from ordinary group work, the three failure points, and what to price that operators leave out.

A destination wedding moves twenty to sixty people to one place on one day. For a regional fleet that is several aircraft or several rotations, on a date that cannot move, which is a different proposition from any other group work in this market.

Why these differ from ordinary group bookings

The date is immovable. Everything else in charter has some flexibility; this has none.

The group arrives in fragments. Different flights, different days, different hotels, and the organiser is reconciling all of it while talking to you.

Numbers change until very late. Final counts often land inside a fortnight, which conflicts directly with the capacity you were asked to hold.

And the emotional stakes are high. A delayed transfer on an ordinary trip is an inconvenience; the same delay on a wedding morning is remembered permanently by people who will book flights of their own.

The three failure points

Capacity held on an option nobody dated. They will ask you to hold more than they need. Hold it with a stated release date and a price after it — an undated option in a peak week is the most expensive thing on your calendar. The specific aircraft is assigned on confirmation, based on passenger count, baggage and the destination field.

Baggage. Wedding groups travel with dresses, equipment, gifts and more pieces per person than any other segment. A Liberia–Tamarindo at 23.2 nautical miles is a short flight and the loading is not.

And the return. We quote waiting time and aircraft overnights at the destination: tell us whether you return the same day or the aircraft waits, and we include it in the price. Everyone departs within the same forty-eight hours, often to catch the same international connections, and an operator who priced the outbound carefully and the return casually has taken on the harder half without charging for it.

What to price that operators leave out

The whole day, not the sectors. Multiple rotations to the same field with ground time between them is a day, and quoting it as flights understates it by a wide margin. We show a "from" price per route; the final fare depends on the date, the group and the baggage, and is confirmed in writing before booking.

Standby capacity, if they want it. A second aircraft held for the morning is a real cost and should not be a favour.

And the coordination. The planning calls, the revised manifests, the late changes. This is hours of work that does not appear in any sector.

How to handle the organiser

They are usually a planner or a DMC rather than the couple, and they are coordinating a dozen suppliers. Be the one who makes their job easier and you will be recommended to the next wedding, which is how this segment actually grows.

Give them one contact, written confirmations they can forward unedited, and a weather rule stated in advance rather than explained on the day.

The version that goes wrong

An operator accepts sixty passengers across a morning, holds two aircraft on a verbal option, discovers the baggage at loading, and runs the return an hour late into an international connection.

Nothing in that sequence required bad luck. Each step was a question that could have been asked at quoting, and a San José–Tamarindo at 97.1 nautical miles or a Drake Bay run at 83.5 does not become harder because the occasion is significant — only less forgiving. Operators we bring on evidence current certification, insurance and fleet documentation before receiving a first assignment.

Frequently asked questions

Why do these differ from ordinary group bookings?

The date is immovable, the group arrives in fragments, numbers change late, and the emotional stakes are high.

How should I handle the capacity they ask me to hold?

With a stated release date and a price after it. An undated option in a peak week is the most expensive thing on your calendar.

What is the most underestimated part?

Baggage and the return. Everyone departs within the same forty-eight hours, often for the same connections.

How should it be priced?

As a whole day rather than as sectors, plus standby capacity if wanted and the coordination hours.

Who am I dealing with?

Usually a planner or DMC coordinating a dozen suppliers. Being the one who makes their job easier is how this segment grows.

What makes these bookings unforgiving?

Not difficulty. The flying is the same; the occasion simply leaves no room for anything that was not asked at quoting.
