Team and athlete travel by private charter

Squads travel with people, equipment and a fixture list that does not move. What actually constrains a team charter, how the equipment changes the aircraft and the mistakes.

Team travel is a logistics problem with a deadline attached. The fixture does not move, the squad arrives as a unit, and the equipment often decides the aircraft before the passenger count does. That last point is the one most people get wrong.

What makes a team different from a group

The numbers are fixed and known. Not a party where two more might come: a squad list, staff included.

The equipment is bulky rather than heavy. Kit bags, medical cases, water crates, sometimes bicycles or boards. Volume fills an aircraft long before weight does. The allowance is calculated by weight when you quote in the app; tell us if you carry bulky gear.

And the schedule belongs to someone else. Kick-off, weigh-in or start time is the fixed point, and everything is built backwards from it.

How the equipment changes the aircraft

Declare the gear before the squad. The category is usually set by what goes in the hold, not by how many seats are needed. The specific aircraft is assigned on confirmation, based on passenger count, baggage and the destination field.

Long, rigid items are the hard cases. Bicycles, rowing gear, long boards and stretcher-style medical cases may not fit a light aircraft at all.

Splitting people and equipment across two aircraft is normal, and sometimes cheaper than moving everyone up a category.

The regional pattern

Capital-to-capital fixtures are short sectors. Guatemala City to San Salvador is 109.7 nautical miles, San Salvador to Tegucigalpa 113.5, Managua to San José 173.2. These are minutes of flying and a full day by road.

Domestic training camps use the beach and mountain strips: San José to Liberia is 86.9 nautical miles, which turns a five-hour drive into a short hop.

The gain is recovery time, not comfort. A squad that lands three hours earlier trains or rests instead of sitting in a bus.

What to settle a week ahead

The final list, with passports. International crossings need the full manifest, and a late change is a formality problem, not a seat problem. Departure and entry formalities vary by country and need lead time; we coordinate them with every passenger’s details.

The equipment inventory, with dimensions. A photo of the loaded gear beside a person is worth more than a weight figure.

Who is responsible on the day. One contact, not a group chat.

And the return plan, including what happens if the fixture runs long.

The mistakes that cost a session

Booking seats and mentioning the gear later. That is the single most common cause of a category change and a new price.

Assuming a same-day return after an evening fixture. Several regional fields are daylight only, so a late finish can mean an overnight whatever the aircraft.

And forgetting the medical kit. Anything with pressurised contents or controlled substances needs declaring in advance, as on any flight.

Where a charter is not the answer

Single athletes on a well-served route are usually better on a scheduled flight.

Journeys of more than a few hours by air, where a larger aircraft and a proper cabin matter more than the departure time.

We will say so, because a team that arrives tired on an aircraft that was too small will not book again.

Frequently asked questions

What decides the aircraft for a team?

Usually the equipment, not the passenger count. Declare the gear with dimensions before the squad list.

Can equipment travel on a separate aircraft?

Yes, and splitting people and gear is sometimes cheaper than moving everyone up a category.

Which sectors suit team travel here?

Capital-to-capital fixtures such as Guatemala City–San Salvador at 109.7 nautical miles, and domestic hops like San José–Liberia at 86.9.

How far ahead should the list be final?

A week for international crossings. The full manifest is needed for the formalities, and late changes are a paperwork problem.

Can we return the same night after a fixture?

Only if the field operates after dark. Several regional strips are daylight only, whatever the aircraft.

When is a scheduled flight better?

For single athletes on well-served routes and for longer sectors where cabin comfort matters more than the departure time.
