How to book a private charter, step by step

From the first enquiry to the day of the flight: what happens at each stage, what details are needed, and when the figure stops being provisional.

The process has five stages and none is complicated. What usually goes wrong is not the procedure: it is the order.

1. The enquiry

Write to us with four details and that is enough to start: how many of you, where to, what dates and what baggage.

Baggage in pieces and dimensions, not kilograms: what binds is volume and compartment geometry, not the scale.

And the destination with the name of the accommodation if you have it. "Osa" covers three airstrips on opposite sides of a peninsula; "San Blas", an entire archipelago. Neither is a usable address.

2. The verification

This is our work, and it is the stage nobody sees.

We check that the destination runway accepts the aircraft your group needs, in that date's foreseeable conditions. Before confirming we check that the assigned aircraft accepts the destination field under that date’s forecast conditions.

It is not a formality: it is where most of the mismatches appear. A group of six to Drake Bay, 83.5 nautical miles from San José, is a question of category rather than runway, and that changes the whole plan.

And we check what remains after landing. There is almost always one more leg, and it runs to times we do not control. Ground transfer is not included in the fare: your accommodation or a local operator arranges it.

This is why we ask for the name of your accommodation rather than the region: the last transfer belongs to them, and its timetable governs ours.

If something does not fit, we tell you here. This is the cheap moment to find out.

3. The quote

With the above settled, the figure comes out firm. We tell you which aircraft category, for how many passengers, and what is included — and what is not. The specific aircraft is assigned on confirmation, based on passenger count, baggage and the destination field.

If a detail is missing on your side, the quote comes with conditions. It is not a tactic: without knowing what time your boat leaves, the flight time cannot be fixed.

4. Confirmation

Confirming closes the date and assigns the operation. It is also the moment to ask who materially operates the flight, if you have not already.

5. The day of the flight

Schedule coordination, weather check, departure.

And here a realistic expectation helps: this network has daylight, visual fields, several with approaches flown in one direction only. If the day does not allow it, there is no flight. An operator who cancels for weather is doing their job.

Which is why the margin goes on the return day, not the outbound.

The most common ordering mistake

Booking the flight before everything else.

If your destination requires a permit — Corcovado, Guna Yala — that formality comes first. If the last leg is a boat or a river, its timetable governs the flight's.

Whoever books the flight first risks having the aircraft and not the permit, or arriving after the last departure of the day. Both happen, and neither is the flight's fault.

Frequently asked questions

What do you need to start?

How many of you, where to, what dates and what baggage, the last in pieces and dimensions.

What do you verify?

That the runway accepts the aircraft in that date's foreseeable conditions, and what leg remains after landing.

When does the figure stop being provisional?

When the destination details are in: the right field, the last transfer time, and whether the group fits the runway.

When do I ask who operates the flight?

At confirmation at the latest, and earlier if you prefer. It is information you are entitled to have.

What if the weather does not cooperate?

There is no flight. These are daylight, visual fields, and an operator who cancels is doing their job.

How long does the process take?

It depends on your details. With the four initial ones and the last transfer time, the quote comes out firm without back and forth.

What is the most common mistake?

Booking the flight before the permit or before the last transfer time. The correct order is the reverse.
