Costa Rica inbound tourism as a pipeline for your aircraft

Which parts of the receptive trade generate air transfers, which do not, and why the booking arrives so late.

Almost every charter passenger in this market is somebody's tourist. Knowing which somebody changes where your work comes from and how late it arrives.

The four sources, and what each is worth

The lodge or hotel. The strongest source, because the property has a direct interest in the guest arriving. A Tortuguero lodge — 53.4 nautical miles from San José, no road — sells the transfer as part of the stay.

The receptive agency. Volume and predictability, but the margin passes through them and the relationship is theirs, not yours.

The guest directly. The best margin and the hardest to reach, because they are searching a route rather than an operator.

And the corporate client. Smallest in count, largest in repetition, and almost entirely unaffected by tourism seasonality.

The order matters when you have limited time to cultivate relationships. One lodge that sends work every week is worth more than four agencies that each send two jobs a year, and it costs less to maintain.

Why the booking arrives so late

A traveller books flights and lodging months out. The internal transfer is decided last, often after arrival, because it depends on how the itinerary actually fell into place.

That is why so much of this business is short notice, and why an operator with a fixed weekly plan struggles. The demand is not unpredictable — it is late. Those are different problems.

Which parts do not generate air transfers

Anything within reasonable driving distance. Where the road works, the road wins on price and the traveller is on holiday, not in a hurry.

Budget segments, regardless of destination. A charter is quoted per aircraft, which prices out most of the market by definition. We show a "from" price per route; the final fare depends on the date, the group and the baggage, and is confirmed in writing before booking.

And large groups beyond your category. A coach of thirty is not an air transfer; it is two aircraft or a road journey, and usually the road. The specific aircraft is assigned on confirmation, based on passenger count, baggage and the destination field.

What decides whether the work reaches you

Your category against the field. Drake Bay at 83.5 nautical miles admits generous categories; the narrow strips do not. That single fact filters more work than any commercial effort.

Your base. The aircraft may need to reposition to the departure aerodrome, and that leg forms part of the quote. A lodge in the south sends work to whoever can be there without a long positioning leg.

And your response time, because a decision made the day before does not wait.

The seasonality nobody sells you on

Inbound tourism peaks together, and so does every corridor that serves it. There is no counter-season within this demand. A San José–Tamarindo of 97.1 nautical miles is busy when everything else is busy.

The only real counterweight is work that does not follow the tourism calendar — corporate transfers, light cargo, institutional flights. An operator whose entire pipeline is inbound will have the same September as everybody else.

What to do with this

Build relationships with properties rather than waiting for agencies, accept that the work is late rather than trying to schedule it, and find one non-tourism source before you need it. Operators we bring on evidence current certification, insurance and fleet documentation before receiving a first assignment.

That last one is the hardest because it has to be done in the months when everything is going well. An operator who starts looking for corporate work in September is looking at the worst possible moment to be persuasive.
