A remote lodge has a problem that no marketing solves: guests who cannot reach it do not stay there. That makes the property the most motivated counterparty in this market, and the one most operators under-court.
Why a property beats an agency as a source
The interest is direct. An agency earns whether the guest flies or drives. A Tortuguero lodge — 53.4 nautical miles from San José, no road — loses the booking if the transfer fails.
The volume repeats. A property with thirty rooms generates transfers every week of its season, from the same place to the same place.
And the relationship is yours. Nobody sits between you and the person who decides.
What a lodge actually needs from you
Not the lowest rate. Four things, in this order:
Certainty about the return. Their guest has a departing international flight. An operator who is reliable on the outbound and vague on the return is a problem they will eventually solve by changing operator.
A rule for weather. These are daylight and visual fields. The lodge needs to know what happens to a guest stuck by cloud, and they need to know it before it happens, not during.
A single contact who answers. Front desk staff change and the person calling you at seven in the morning may never have spoken to you. Leave the property one page with your number, your aircraft and your weather rule, and it will outlive three receptionists.
And a price they can quote. We show a "from" price per route; the final fare depends on the date, the group and the baggage, and is confirmed in writing before booking. A property that has to call for every quote will stop offering the transfer.
What loses the account
Turning down their peak dates. A lodge that gets a no in high season remembers it in low season, and the arithmetic of that trade is worse than it looks.
Inconsistent aircraft. A guest who flew a Caravan in March and a much smaller aircraft in November tells the lodge, not you. The specific aircraft is assigned on confirmation, based on passenger count, baggage and the destination field.
And a surprise on waiting. We quote waiting time and aircraft overnights at the destination: tell us whether you return the same day or the aircraft waits, and we include it in the price. A charge the property did not anticipate arrives as a complaint from their guest, which is the worst possible route for it.
The approach that works
Go in person, once, in their quiet season. Nobody at a full lodge has time to meet an operator, and nobody at an empty one has anything better to do.
Bring numbers, not a brochure. Drake Bay at 83.5 nautical miles, Quepos at 33.4 — what your aircraft does, what it carries, what it needs from the strip.
And offer the thing they cannot get elsewhere. If your category serves a field that most cannot, say it plainly. That is the whole of the pitch. Operators we bring on evidence current certification, insurance and fleet documentation before receiving a first assignment.
The honest limit
A lodge relationship is not a contract and rarely becomes one. It is a habit, and habits break when someone is unreachable at a bad moment.
That is the real reason response time matters more than price in this segment: the lodge is not comparing you with another operator. They are comparing you with the version of you that answered last time.
