Two operators quote the same job at similar rates and one wins consistently. It is almost never the rate. It is the document.
What belongs in the quote
The aircraft, by type and configuration. Not «a turboprop». The passenger or the intermediary will forward this, and a vague aircraft invites a comparison you will lose.
The route as aerodromes. Drake Bay at 83.5 nautical miles from San José, named properly.
What is included. Fuel, fees, handling, crew. State it even where it is obvious, because the competing quote may not include the same things and the client cannot tell.
The waiting rule. We quote waiting time and aircraft overnights at the destination: tell us whether you return the same day or the aircraft waits, and we include it in the price. This is the line that most often turns into a dispute, and putting it in the quote costs nothing.
Baggage allowance in items and dimensions.
And validity. A quote without an expiry is a price you have given away indefinitely. Seven days is usually enough, and it gives you a clean reason to requote when fuel or the season has moved.
What to leave out
Your cost structure. Explaining why the number is what it is invites negotiation on the components.
Apologies for the price. We show a "from" price per route; the final fare depends on the date, the group and the baggage, and is confirmed in writing before booking. A quote that anticipates objection creates one.
And conditional language. «We could probably do it for around» is not a quote, and the client who receives it will use it to negotiate against a firm one.
If you are genuinely uncertain, say which element is uncertain and by when it resolves. That is precise. «Around» is not, and it reads as an opening position rather than a price.
Why the clearest quote wins
The person deciding is often not the person flying. A lodge manager, a travel agency, an assistant. They are choosing something they will have to defend to somebody else, and a document that answers questions in advance is easier to defend than a lower number that does not.
That is also why a San José–Tamarindo of 97.1 nautical miles quoted with the return arrangement spelled out beats a cheaper one quoted as a single line.
The single-line quote also loses on the second question. When the client asks what happens if the group grows or the return slips, the operator who already answered it in writing answers in seconds and the other one reopens the whole negotiation.
The invoicing detail that decides corporate work
AeroRide invoices and charges directly from the site; you receive your receipt in the name of the person or company you give us on confirmation. A quote that cannot become an invoice with their legal name and reference is a quote a company cannot process, whatever the number says.
Speed versus completeness
Send the complete version fast, not the perfect version late.
If a detail genuinely needs checking, quote everything else and name the one open item with a time: «rate confirmed, crew availability confirmed by two». That holds the job. Silence does not. Operators we bring on evidence current certification, insurance and fleet documentation before receiving a first assignment.
The template worth building once
One page, six fields, your conditions at the bottom. It takes an afternoon and after that every quote is ten minutes instead of forty.
Operators who quote from scratch each time are slower and less consistent, and both of those cost work.
Frequently asked questions
What wins a job at similar rates?
The document, not the rate. A clearer quote beats a marginally cheaper one.
What must a quote contain?
Aircraft and configuration, route as aerodromes, what is included, the waiting rule, baggage, and a validity date.
What should I leave out?
Your cost structure, any apology for the price, and conditional language.
Why does clarity matter so much?
Because the person deciding often has to defend the choice to someone else.
Fast or complete?
Complete and fast. Name any open item with a time rather than going silent.
How long should a quote be valid?
Seven days is usually enough, and it gives you a clean reason to requote when fuel or the season has moved.
Is a template worth it?
Yes. An afternoon of work turns every future quote from forty minutes into ten.
