Protecting your reputation after a bad flight

How a cancellation or a complaint actually damages a small operator, and the four responses that limit it.

In a market of a few dozen operators, reputation is not built by reviews. It is built by what three or four counterparties say about you when asked. That changes what damage control has to look like.

What actually causes the damage

Rarely the cancellation itself. Almost always the handling.

A passenger stuck at Tortuguero — 53.4 nautical miles from San José, daylight and visual — who was told at seven in the morning that the ceiling was below minimum and given a plan is inconvenienced. One who was told at eleven, after three vague updates, is angry.

Same weather. Different outcome. The variable was information, not the flight.

The first hour

Tell them before they ask. The moment the decision is made, not when it is comfortable.

Give a specific next step, even a provisional one. «We will know by two» is a plan. «We are monitoring» is not.

Say who is paying for what. AeroRide invoices and charges directly from the site; you receive your receipt in the name of the person or company you give us on confirmation. We quote waiting time and aircraft overnights at the destination: tell us whether you return the same day or the aircraft waits, and we include it in the price. The money question is already in their head and leaving it unanswered makes everything else sound evasive.

And put it in writing, however brief. A message can be forwarded to the lodge, the agency or the employer who will otherwise hear a second-hand version.

What not to do at all

Do not blame the field, the authority or the weather service. It reads as deflection even when accurate, and the passenger cannot verify any of it.

Do not offer a discount as the first response. It converts a safety decision into a commercial one, and it teaches the counterparty that your decisions are negotiable.

And do not go quiet. Silence is the single behaviour that turns an incident into a story other operators repeat.

Going quiet rarely feels like a decision. It usually starts as waiting for better news to deliver, which is why it needs a rule: contact them at the agreed hour whether or not there is anything new to say.

The counterparty matters more than the passenger

The tourist who was delayed may never book again regardless. The lodge, the agency or the intermediary who placed them will place someone else next week — or not.

Call them the same day. Not to explain, to inform. An intermediary who learns about a cancellation from the passenger has already decided something about you. We run scheduled private flights across Central America; any other destination worldwide is coordinated on request.

The same applies in reverse, and it is fair to expect it: an intermediary who handles the passenger conversation without telling you what was said has left you to discover it from the next request that does not arrive.

What a good record looks like afterwards

Not an absence of cancellations. A pattern of cancellations that were communicated early and resolved.

Operators who fly into Drake Bay at 83.5 nautical miles and the other weather-exposed fields will cancel. The ones who keep the accounts are not the ones who cancel least; they are the ones whose counterparties never have to chase them. Operators we bring on evidence current certification, insurance and fleet documentation before receiving a first assignment.

Frequently asked questions

What causes the damage?

The handling, not the cancellation. Same weather, different information, different outcome.

What should happen in the first hour?

Tell them before they ask, give a specific next step, say who pays for what, and put it in writing.

Should I offer a discount?

Not as a first response. It converts a safety decision into a commercial one and teaches them your decisions are negotiable.

Why not explain the weather in detail?

It reads as deflection even when accurate, and the passenger cannot verify it.

Who should I call first?

The counterparty who placed the passenger. They will place someone else next week — or not.

Why do operators go quiet?

It starts as waiting for better news. That is why it needs a rule: make contact at the agreed hour whether or not there is anything new.

What does a good record look like?

Not fewer cancellations. Cancellations communicated early and resolved, with no one ever chasing you.
